It is certainly easier these
days to make travel reservations in
Africa, but it is still not possible to book things instantly. The
following terms and conditions apply when booking your travel through
African Treks.
Booking
Procedure
A completed booking form which serves as a guarantee of payment,
plus a $100 per person "planning to go" deposit is required in order for African Treks to proceed with
reservations. This deposit is credited towards the final cost of
your tour. The liability we incur for cancellation
fees—on confirming reservations on your behalf with our suppliers—makes this necessary. Once the reservation is confirmed the client will become liable for amendment and cancellation fees. African Treks cannot be held responsible for problems arising from incorrect or insufficient information given at the time of booking.
Quotes
We reserve the right to re-cost in seven days, or if the client should amend the tour, or we become subject to price increases. All quotes are
subject to airfare and foreign exchange fluctuations and should be reconfirmed with African Treks prior to booking. Please note, we do not check availability until the signed booking form has been received.
Booking
Amendments
If, after confirming, the client wishes to amend the booking in any way, they may do so. However, should African Treks start
incurring costs due to the amendment, we reserve the right to charge an amendment fee of $8 per amendment. All amendments must be received in writing. A booking that is postponed until a later date is considered to be a cancellation, and cancellation fees will be charged accordingly.
Cancellation
Cancellation of any booking must be received in writing. If a booking is cancelled the following
cancellation fees will apply:

For last minute bookings,
i.e.:
two weeks prior to departure, 100% cancellation fees will apply should these bookings cancel. |
African Treks reserves the right to amend our cancellation policy according to the suppliers used, and/or special events.
If, for any reason whatsoever, the client fails to appear at the reserved place of accommodation or transportation etc., arrive later or leave earlier, no reimbursement will be considered.
Price
The price is valid at the time of booking, but until such time as full and final payment has been received the price is dependent on currency fluctuations, accommodation and airfare increases. The price should be reconfirmed prior to final payment being made. In the unlikely event of there being an unscheduled extension of a booking caused by flight delays, bad weather, strikes or any other matter beyond our control, it is understood that expenses incurred will be for the
client's account.
Flight
Reservations
To hold confirmed air space, payment must be received
within seven days of confirmation, or reservations will be
automatically cancelled at 5 p.m. eastern time. If you wish to use
frequent flier miles for the international travel of your trip, please
confirm the space before we make travel reservations.
Final Payment
A 20% deposit is required 90 days prior to the group's departure
date; some principals require a 30% deposit, especially during high
season. The balance of payment is due
60 days prior to travel date. 
Prepayment
Where suppliers require prepayment, African Treks must have payment prior to the
date set by the supplier. The client will be advised of said date and invoiced accordingly. Should we not receive payment
on time we reserve the right to automatically cancel the reservation.
Documents
No documents will be issued or handed over unless full payment has been received. No exceptions.
Insurance
It is strongly recommended that all customers take out comprehensive travel insurance including full medical coverage, as well as cancellation and curtailment coverage.

Passports & Visas
The onus is on the client to ensure that their passports are valid for travel and that they are in possession of
valid visas for all countries being visited, and that all necessary health certificates for these destinations are in order.
Liability & Indemnity
African Treks, its employees and affiliates, do not accept responsibility for any client or dependant thereof in respect of any
loss, damage or theft of property for the duration of the tour. The client therefore indemnifies African Treks from any liabilities arising from the client failing to ensure the validity of the above criteria.
